
In-Person Training Regulation
1. Scope of Application
The Training Regulation establishes the guidelines governing the operation of the in-person training activities of Happiness Business School, represented by its management, and is subject to revision whenever changes occur in training processes.
2. Entity Policy and Strategy
Happiness Business School aims to promote more positive workplaces through lectures and training. On the one hand, it supports managers and directors in creating conditions for happiness to flourish; on the other, it fosters each employee’s personal happiness and intrinsic motivation. Corporate happiness is understood as a joint endeavour, in which both the organisation and the employee walk side by side, sharing responsibility for its achievement.
2.1 Mission
The mission of Happiness Business School is to empower organisations to promote workplace happiness, thereby fostering careers with greater purpose.
2.2 Training Modalities and Organisation
The training modalities provided consist of initial training, skills enhancement, and continuous training. The training is delivered in person.
2.3 Target Audience
The training programmes organised by Happiness Business School are aimed at the general public (both unemployed and employed individuals) who have an interest in the proposed training offer.
2.4 Course Structure
a) The training offered by Happiness Business School follows a modular approach.
b) Trainees receive the training manual in digital format.
c) Course programmes are reviewed annually and updated where necessary, while maintaining their essential structure.
2.5 Trainers’ Pool
Happiness Business School maintains an updated pool of trainers, organised by training area.
2.5.1 Recruitment and Selection of Trainers
Recruitment:
a) Trainers are recruited to be part of the trainers’ pool.
b) Following an application, the training manager conducts a competency assessment of the trainer by reviewing their CV to determine whether they meet the requirements to join the Trainers’ Pool. The manager must also conduct a recruitment interview.
Requirements to Join the Trainers’ Pool
- Academic and professional qualifications aligned with the proposed areas of activity
- Professional experience
Selection
After scheduling a training session, the training manager identifies a trainer from the pool whose profile is suitable to deliver the training. The manager communicates the planned training via email and verifies the trainer’s availability to deliver the course on the proposed dates
3. General Conditions of Operation
a) A maximum number of places is established for each training session, adjusted according to available pedagogical, human, and material resources
b) Any changes to the training schedule will be communicated in a timely manner and appropriately compensated in training hours
4. Methods for Dissemination, Registration, Selection, Attendance, and Trainee Assessment
4.1 Dissemination
The training plan and scheduled courses will be promoted via email to the client and alumni database, on the official website, and through social media posts
During the dissemination process, recipients are always informed about course content, duration, any attendance requirements, fees, registration periods, and other relevant information
4.2 Registration
Registration for general public courses takes place within the period set and announced for each course. In the absence of a defined period, registration must be completed at least 10 working days before the start of the course by submitting a registration form. Upon receipt of the form, the trainee is either accepted or declined based on whether any prerequisites are met
a) During the registration process, the trainee must accept the terms and conditions of the current Happiness Business School, Unipessoal Lda regulation
b) Registration is formalised by completing a registration form, submitted either physically or via email, along with payment of the registration fee by the client/trainee
c) Happiness Business School reserves the right to cancel a trainee’s registration or participation due to inappropriate behaviour
4.3 Selection
The selection of candidates for participation in training sessions is carried out according to the criteria set out in the course framework. Additionally, for courses open to the general public, the following criterion applies: upon receipt of the registration form, the trainee is either accepted or declined based on the maximum number of available places for each course
4.4 Attendance
Trainees must comply with the attendance requirements indicated in the course programme. In the absence of specific conditions, general attendance rules apply, requiring a minimum attendance of 95% of the total course hours.
a) Attendance is monitored through registration on an attendance sheet.
b) A participant who fails to attend all modules of the training or who does not submit the required assessment elements may nevertheless request a certificate of attendance. The participant may also request a remedial plan in order to successfully complete the course.
c) Participation in the training programme entitles the trainee to receive a training certificate, provided attendance requirements are met and the trainee has achieved a passing grade in accordance with the course programme.
4.5 Trainee Assessment
a) Trainees are assessed at three different stages, culminating in a quantitative grade at the conclusion of the programme.
b) A diagnostic assessment is conducted during the first training session, with the purpose of identifying the trainee’s prior knowledge of the course topics, enabling adjustments or tailoring of sessions to their needs. This assessment is conducted orally through questions posed by the trainer.
c) Throughout the training, continuous formative assessment is applied, using tools such as exercises, practical simulations, and other knowledge acquisition checks. During this period, the trainer also observes trainees’ behaviour and evaluates them against indicators in the learning assessment grid. Criteria include attendance, participation in activities, interpersonal relations, among others, with results graded on a scale from 0 (poor) to 20 (excellent).
d) In the final session of each training course, when applicable, a summative assessment is carried out through a knowledge test or final exercise. At the end of the programme, the average of the formative and summative assessments is calculated to determine the trainee’s final grade. Scores below 10 are considered “not approved”, while scores of 10 or higher are considered “approved”.
4.6 Certificates
Trainees achieving a positive final grade (above 10) receive a professional training certificate, issued free of charge.
5. Cancellation Policy, Interruptions and Remedial Measures
Happiness Business School works with a limited number of people so that we can meet the real needs of each participant. This means that each registration takes a spot that could have gone to someone else, which is why we have the following cancellation policy:
- Enrolling in any Happiness Business School training means that you are in compliance with this cancellation policy.
- Cancelling the registration incurs a penalty of 20% of the total training fee, which is non-refundable.
- Cancelling the registration up to 20 business days before the start of the course will result in a refund of 80% of the total training fee.
- Cancelling the registration between 20 to 10 business days before the start of the course will result in a refund of 50% of the total training fee.
- Cancelling the registration from 10 business days before the start of the course until the start date will not be eligible for a refund.
- In the case of installment payments, the refund calculation will be based on the amount paid, also considering the provisions mentioned in point 1 of this policy.
- If you are unable to attend the training, you may send someone else in your place, by notifying us at least one week in advance.
- In case of no-show, there will be no possibility of rescheduling or refund.
- The holding of the training sessions is subject to a minimum number of participants. If the minimum number of participants is not reached, the training will be canceled or postponed and the participant may choose either a full refund or a transfer to the new course date.
- Where a trainee does not achieve a passing grade in the course, they may request additional measures, known as corrective measures, which allow them to obtain the required achievement. Upon request, the training entity will provide the trainee with an alternative plan of measures (wherever possible and/or applicable) so that the course can be successfully completed. These measures may involve additional costs.
6. Conditions of Training Delivery
6.1 Training Venue
Happiness Business School will ensure that training sessions are held in rented facilities, selected in accordance with the requirements for certified professional training, guaranteeing accessibility, comfort, and suitability for the training methodologies adopted.
6.2 Training Schedule
a) The training schedule may vary (daytime, evening) but is defined at the time of the course launch. Schedules and timetables are presented to trainees through the dissemination materials for each training programme.
b) Should Seekinspiration, Unipessoal Lda be unable, for reasons beyond its control, to fully comply with the planned training programme, appropriate adjustments may be made, and trainees will be notified in advance.
6.3 Right of Reservation
Happiness Business School reserves the right to change trainers, venue, or timetable of the training, provided such changes do not undermine the objectives of the programme. In such cases, the institution commits to communicating the changes with as much notice as possible.
6.4 Security
Happiness Business School accepts no responsibility for any damage to or theft of belongings of trainees, trainers, or other authorised users within the training facilities.
7. General Obligations of the Parties
7.1 Rights and Duties of Trainees
7.1.1 Trainee Rights
Trainees are entitled to:
- Participate in the training and receive it according to the methodologies defined in the programme;
- Enter into a training contract with the training provider;
- Access facilities, equipment, and materials appropriate to the type of training activity;
- Receive all documentation relating to the training in digital format;
- Obtain, at the end of the course, a Professional Training Certificate if they achieve a grade above 10, or, if not, a Certificate of Participation;
- Be informed in advance of any changes to the training schedule;
- Be informed of the evaluations carried out by trainers, communicated verbally and in writing;
- Receive a clear response to complaints or clarification requests within a maximum of five working days;
- Be allowed up to 5% justified absences relative to the total number of training hours, unless otherwise specified in the programme;
- Be covered by personal accident insurance;
- Have the confidentiality of personal data ensured.
7.1.2 Trainee Duties
Trainees are required to:
- Attend the course regularly and punctually, participating in sessions according to the published schedule;
- Refrain from any conduct that may cause damage or discredit to the training, the training provider, or any other entity involved in the project;
- Not disclose information on equipment or operational processes learned during the course, nor share didactic materials made available during the training;
- Complete the exercises or knowledge assessments deemed necessary by the training provider;
- Carefully use and ensure the preservation of equipment and facilities where training takes place;
- Attend at least 95% of the total training hours;
- Justify any absences, providing reasons in writing;
- Communicate in writing any changes to the personal data provided in their registration form.
7.2 Rights, Duties and Responsibilities of Trainers
7.2.1 Trainers’ Rights
Trainers are entitled to:
- Participate in the design, development, and evaluation criteria of the course;
- Enter into a service contract with the training provider;
- Receive a statement of the training activity delivered;
- Receive the agreed remuneration;
- Find, in the training venue, the necessary conditions for carrying out their role;
- Obtain detailed information regarding the conditions of course delivery, including group characteristics, topics to be covered, objectives to be achieved, didactic resources, and available audiovisual means;
- Submit written requests for clarification and/or complaints to the course coordination, receiving a response within five days.
7.2.2 Trainers’ Duties
Trainers are required to:
- Strive to achieve the course objectives, considering the profile of participants;
- Cooperate with beneficiary organisations and other stakeholders to ensure the effectiveness of the training;
- Prepare each training session adequately in advance, developing session plans, supporting pedagogical materials, defining audiovisual resources to be used, and scheduling assessment moments;
- Uphold behavioural standards that foster trust and mutual understanding among stakeholders;
- Ensure confidentiality regarding data and events related to the training process and its participants;
- Care for the materials and technical resources placed at their disposal;
- Be punctual and regular in attendance;
- Inform the course coordinators of any critical incidents during the training;
- Return all course-related documentation to coordination at the end of their training period to ensure the permanent updating of the technical-pedagogical file;
- Submit session plans at least four days before the session;
- Deliver to the coordinator, within a maximum of eight days after the training programme ends: trainees’ evaluations (including all applicable forms), evaluations of the training process, and trainees’ assignments;
- Complete and sign the session summary at the beginning of each training session.
7.3 Responsibilities of the Training Manager
The training manager is responsible for:
- Conducting training needs assessments;
- Planning training activities;
- Preparing training frameworks (with support from pedagogical coordination and trainers);
- Overseeing the recruitment and selection of trainers;
- Managing promotion and dissemination of training activities to target audiences;
- Ensuring the conditions necessary for training delivery;
- Overseeing the design and preparation of pedagogical support materials;
- Ensuring the preparation of technical-pedagogical files;
- Monitoring training delivery;
- Providing technical and/or pedagogical guidance to assigned human resources;
- Managing the physical resources required for training;
- Designing and applying models and tools for training evaluation.
- Make the necessary adjustments as part of a continuous-improvement approach;
- Assess trainers’ performance;
- Prepare activity reports with the support of the pedagogical coordinator;
- Report to senior management on the performance of the professional training management system;
- Maintain liaison with partners regarding the training products delivered.
7.4 Responsibilities of the Pedagogical Coordinator
The pedagogical coordinator is responsible for:
- Supporting the training manager;
- Providing pedagogical support to training activities, coordinating feedback from trainees, trainers, and partner entities;
- Recording and resolving possible complaints or incidents;
- Overseeing the pedagogical monitoring of training actions, from programme design through to delivery and evaluation;
- Collecting satisfaction evaluations from participants and processing the data;
- Preparing final reports for each training course;
- Overseeing the preparation, implementation, and evaluation of the training plan and activity reports.
8. Complaints Procedures
a) Any complaints from trainees must first be addressed to the trainer, with the aim of clarifying and resolving the reported issue.
b) Should the trainee wish to formalise the complaint, they may do so in writing in the complaints register contained in the technical-pedagogical file, by letter, email, or in the official Complaints Book.
c) Complaints must be submitted within five days of the occurrence.
d) Complaints must be reviewed within five days.
The complaint will receive one of two immediate responses:
- If the trainer can resolve the issue immediately, they must do so, record the resolution in the form, and subsequently inform the course coordinator;
- If the trainer cannot resolve the issue immediately, they must forward the completed form to the coordinator without delay.
The pedagogical coordinator shall make the final decision, completing the section of the form that provides the response to the issue raised.
At the end of the course, the occurrence must be included in the final evaluation report of the training, which forms part of the technical-pedagogical file.
